  1. The data we collect about you

We collect, use, store, and transfer different kinds of personal data, including information provided via our online enquiry forms, online booking pages and client forms (for Reiki, Breathwork, Meditation, Animal Reiki and Menopause support). This includes: 

  • Identity Data: First name, last name. 

  • Contact Data: Address, Email address and phone number. 

  • Technical Data: IP address and browser type (collected via Wix.com and Google Analytics). 

  • Profile/Usage Data: Information on how you use our website and services. 

  • Health-Related Data: Information provided voluntarily in client booking forms (such as Reiki or Menopause history) to ensure safe and tailored practice.

  • Financial & Transaction Data: We collect details about payments to and from you. We do not store your full credit card or debit card information. All online and card payments are processed securely by our third-party provider, SumUp. If you pay via bank transfer, we will see your name and the account details provided by your bank on our secure statement for accounting purposes.

 

How we use your personal data

We use your data only for the following purposes: 

  • To register you as a new client and manage your bookings. 

  • To deliver services, such as workshops and 1-to-1 coaching. 

  • To improve our website through the use of Google Analytics. 

  • To comply with a legal or regulatory obligation (such as HMRC reporting, if required by law).

 

How we share your personal data

We do not sell or share your data with third parties for marketing purposes. Data is only shared with:

  • Service Providers: Wix.com (our website host and form processor) and Google Analytics.

  • Legal/Regulatory Bodies: HM Revenue & Customs (HMRC) or other authorities if required by law. 

 

How we store your personal data

Data Security & Storage We are committed to ensuring that your information is secure. To prevent unauthorised access or disclosure, we have put in place suitable physical, electronic, and managerial procedures to safeguard and secure the information we collect.

  • Digital Data: Stored securely via Wix.com (see International Transfers).

  • Digital Records: Invoices and client records stored electronically are kept on a password-protected device with restricted access.

  • Physical Records: Any paper-based client forms are stored in a secure, locked filing cabinet.

  • Retention: We retain financial and client records for 7 years in accordance with HMRC and insurance requirements. After this period, digital files are permanently deleted and paper records are securely shredded.

 

International transfers

As Violet Serenity uses Wix.com for website hosting and forms, your personal data may be stored on Wix.com secure servers. Wix.com is a global company, which means your data may be transferred, stored, and processed outside the UK. We ensure these transfers are protected by standard contractual clauses to maintain the security of your data.

  • Request that we correct or delete your data.
